Ad account handover checklist

Transfer the ability to operate an account, not just a folder of exports. This checklist records the owner, access confirmation, dependencies and unresolved decisions that a new agency or internal team needs to understand before making changes.

How to use the template

Inventory ownership before exporting reports

Identify who controls the advertising account, domain, hosting, Analytics property, event source, billing and CRM. Access to a campaign dashboard does not prove ownership of those dependencies. Put each responsible person or team in the working copy.

Verify the incoming team's access

Use individual access grants and the provider's current process. Google documents adding an administrator before removing the outgoing user's access. Have the authorized incoming owner confirm the correct account and capabilities before removing a dependency the business still needs.

Transfer the reasons behind the settings

Exports show what exists, but rarely explain why a target, exclusion or experiment was chosen. Attach a short decision history and unresolved questions. Include automation rules and scheduled processes that could change the account after the new team begins work.

Agree on the first operating window

Choose who may change spend, when the first review will happen and how urgent issues are escalated. Avoid a simultaneous reset of tracking, budgets, creative and ownership unless a concrete incident requires it. A stable handover gives the next team a usable baseline.

Worked review example

Illustrative handover: the incoming agency can view campaigns but cannot access the form integration that delivers leads. The outgoing agency owns that integration and plans to remove its subscription.

The handover remains incomplete until the business has a verified replacement path and an owner. Marking 'ad account access granted' as complete does not close the dependency. Record the continuity check before authorizing the old integration's removal.

What this template does and does not establish

A checklist does not authorize access changes or transfer contractual ownership. Use the business owner's permissions and current provider process. Do not put passwords, recovery codes, customer records or secret tokens in this worksheet.
